Issue:
At ASI shows, barcodes appearing on the badge will not include all the information for the attendees, therefore, you will not see the complete contact information for the attendee when you scan.
You will only see the attendee's name, registration ID, and Company Name on the screen when you scan a badge.
You may still use ShowLink like normal to add items, make notes, add/edit contact information, etc. during the show. After the show, please follow the additional steps outlined in this article to add the rest of the attendees' contact information to your scan data before exporting the leads.
Solution:
Prior to the show, exhibitors need to order the Data Conversion Service ($75.00) from the XPress Leads/Convention Data Services (CDS) Online Ordering website. This will provide access to their XPress Leads Exhibitor Portal, which is where the lead file is uploaded post-show to convert it to a full data file. NOTE: You will only see the Data Conversion feature once you order it. If you do not have this option or if you need assistance, contact CDS at 800-746-9734 or xpressleadpro@cdsreg.com to order.
To order this service:
- Go to the XPress Leads Online Ordering website
- Select the "Data Conversion Service" towards the bottom of the page to order.
- Enter the Show Code (which can be found on the Lead Retrieval Order Form in the show exhibitor information
- After you process your order, you will receive an email confirmation/receipt.
- At the bottom will be your unique log-in credentials to the XPress Leads Exhibitor Portal.
- Save this email, you will need to access the Exhibitor Portal post show.
STEP 1: Show Setup and ScanningBefore and during the show, you will setup the event as you normally would.
Scan the QR code on the badge. You may use either the built in camera on your device or your Bluetooth scanner.
It's important to note that when scanning, you should see the person's name and the registration ID. You will
not see other information like addresses and emails. Don't worry. That information will get merged in later.
STEP 2: Export your lead file from SAGEmember.com to upload to the XPress Leads Exhibitor Portal CDS1. Verify that your ShowLink device is online and all of your leads have been uploaded. On the app, the red badge next to the cloud icon should go away, indicating that pending leads have been uploaded.
2. Login to SAGEmember.com and choose ShowLink from the left menu.
3. Click "Reports" next to the show.
4. Scroll down and click on "Download for CDS" to download your leads list. This file is already formatted in the correct format -do not- attempt to edit or "re-save" this file.
5. Log into the XPress Leads Exhibitor Portal, click on the “Data Conversion” option under the Setup tools.
6. Follow instructions to upload your CSV file. (NOTE: You do not need to download the file template, just Continue to Setup 2, the CSV file you downloaded is already in the correct format). This Data Conversion tool will automatically convert it to a full data file and you will instantly be able to download it.
STEP 3: Import the data received from CDS back into SAGEmember.com1. Download your converted data file from Step 6 above.
2. Login to www.SAGEmember.com, and click on ShowLink from the left menu.
3. Click Reports next to the show.
4. Click "Import from CDS file", and upload your file.
5. Once the upload is complete you may export reports and view statistics, etc. in SAGEmember.com like normal. The reports will contain your notes, product information, etc. as well as the full contact information for the attendees.
NOTE: It is VERY important to import back into SAGEmember.com to create the final report. The file that you get back from CDS will not include all of your notes, items, etc.
